Office Assistant

Purpose of the Job

For a fast-growing, innovative team in the Media and Tech space, we are looking for our own office superhero that would help us get organized and simply get things done. We are looking for an experienced administrator from a media agency background who can hit the ground running, providing support to a leadership of 8, as well as office co-ordination for over 200.


Job Objectives

Provide an exceptional customer service experience, being the face of workplace services to our end users, partnering with team members to deeply understand their needs and deliver the right solutions, while acting as a trusted partner. Build strong relationships with business leaders to enhance the employee experience. Coordinating contractors to ensure a well maintained office environment that meets the requirements of the team Collate attendance registers, timekeeper, leave rosters as well as hot desk and meeting room bookings, maintain the internal contact list Ordering of all IT and other resources for new employees starting as well as ongoing requirements, liaise with IT to set up AD (email) accounts Work with Head of Talent to ensure all employees are effectively onboarded and taken through the onboarding process Stationary orders Travel request Events and workshops – co-ordinate all the facilities requirements for the hosting of events and workshops Assist senior management with diary management and setting up meetings Assist senior management with email management and correspondence Ad hoc requests Proactively work to support the team in the achievement of strategic goals Co-ordinate any contractors or office requirements, to ensure a well maintained and functional office space.


An administrative qualification or certification would be beneficial


2-3 years Media agency admin support experience Managing multiple stakeholders diaries

Knowledge and Skills

Ability to interact with people at all levels of the corporate structure, prioritize and handle numerous competing demands in a high-volume, fast-paced working environment Highly organized, detail oriented with exceptional personal leadership and interpersonal skills and a strong customer-service orientation Excellent written and verbal communication skills with spoken and written fluency in English Strong analytical and problem-solving skills required Must be able to multitask and handle high-stress, sensitive situations with a high degree of confidentiality Proficient in Microsoft Office / G- Suite products including Word, Excel, PowerPoint and Outlook, plus e-mail and presentation software This job requires use and exercise of independent judgment and the ability to be physically mobile
